
It’s probably the last thing you’ll be thinking about at the height of summer, but the Christmas party season will be upon us in the blink of an eye, so it’s time to get planning and we’re here to help.

Set a date
The key to getting a full turn out is to give plenty of notice.
But don’t inform people unless you have confirmed the venue. If you’re after
a Friday night party in December you need to book early! Weeknights can
be cheaper if you’re on a budget.
Confirm a venue
Decide whether you want a venue for a private party or attend
a shared party. Choose a venue that is central for everyone and close to
transport links so that the journey home for people is as easy and safe
as possible. If it’s not, you’ll have to think about providing transport.
Send out the invites
If you’re organising a very large party or inviting
guests from outside the company, a formal invitation is required. Follow
up with reminders a week before and two days before the event. Make sure
you give them an RSVP deadline.
Order food and drink
Providing food doesn’t have to be expensive. Most venues
have a set Christmas menu selection and a range of budgets. Decide on a
drinks policy beforehand. Will the company pay for a welcome drink, the
whole lot or nothing at all? Make sure staff know well in advance.
Book some entertainment
For easy organisation find a venue that will provide
entertainment too or opt for the shared party. Sometimes planning entertainment
can bump up your Christmas budget. However if this is a reward for your
staff why not splash out and get something memorable planned. If money is
tight, why not create a theme or opt for fancy dress, this can change the
dynamic of your party completely.
